Position: Executive AssistantLocation: Phoenix, Arizona (On-site 16th Street & Northern)
Status: Exempt

Education: Minimum of one (1) year of experience in an Assistant or support position. Associate degree and/or undergraduate degree preferred.

PRIMARY ROLE:
The Executive Assistant (EA) serves a key role within our agency. This role primarily serves the CEO professionally, personally, and civically.
The EA is responsible for leaving a positive first impression with clients, vendor partners and Defero associates.
The EA will be attached to the hip of the CEO; while scheduling appointments, memorializing meeting notes, disseminating important tasks to others, responding to emails, updating task lists, assisting with both professional and personal errands, be charged with confidential matters and generally work to assist the executive staff with both routine and one-offs tasks.
Primarily, this position requires an extremely elevated level of energy, impeccable time management and organizational skills, professional loyalty, and the highest level of confidentiality. You are naturally proactive, timely, responsive, flexible, accountable and approachable.
KEY RESPONSIBILITIES:
- Assists the CEO with both regularly scheduled needs as well as impromptu tasks.
- Coordinates and prioritizes work plans with CEO; adjust work plans to meet unscheduled events.
- May work occasional early or late hours to accommodate CEO’s schedule and work product needs.
- Schedules and arranges travel including air, hotel, ground transportation and other applicable needs.
- Proactively engages with the office calendar of events.
- Coordinates office gatherings and internal events and coordinates venues and accommodations for meetings.
- Plans for client and/or other office visitors to meet and greet.
- Shops for and delivers client gifts and invitations.
- Maintains company apartment (supplies, cleanings, guest scheduling).
